Job Overview

The Proposal Coordinator is responsible for developing, managing, and delivering high-quality proposal responses and sales collateral. You will work closely with business area leaders, business development, operations, and marketing teams to support the entire proposal lifecycle, from market research to final submission, ensuring compliance and consistency with corporate standards.

Key Responsibilities
  • Collaborate with cross-functional teams to develop proposal responses, both independently and as part of a team.
  • Write and edit proposal sections using staff interviews, research, and existing documentation.
  • Create and maintain proposal management plans, schedules, compliance matrices, and action tracking.
  • Prepare various proposal types, including RFP responses, qualification packages, and presentations.
  • Coordinate with Marketing to develop sales collateral and support client requests during the pursuit process.
  • Assist in market research, competitor analysis, and gathering client intelligence for business development.
  • Record and update information in the customer relationship management (CRM) database throughout the proposal process.
  • Lead final proposal formatting, production, and ensure timely delivery.
Required Skills & Qualifications
  • Bachelor's degree in English, liberal arts, business, engineering, marketing, or equivalent experience.
  • 3-5 years of experience in the pharma/biotech industry developing and producing proposals.
  • Strong interpersonal skills and experience working with multidisciplinary teams.
  • Excellent written and verbal communication skills with high attention to detail.
  • Ability to manage multiple deadlines, prioritize tasks, and work under pressure in a fast-paced environment.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Adobe tools; CRM experience preferred.
  • Ability to organize and synthesize large volumes of information effectively.
  • Flexibility to work adjusted hours to meet deadlines and support various time zones.
  • Team-oriented attitude with a willingness to assist as needed.
